We Added an AI Employee to Our Team. Here's What Happened Next.

How a single feature inside the Earlibird app replaced hours of daily admin, surfaced hidden revenue, and changed how we run our business.

At Earlibird, we build AI-powered automation systems for businesses. We've spent years helping clients automate their lead engagement, sales recovery, and customer support.

But a few weeks ago, something changed inside our own operation. And it's been significant enough that we need to talk about it.

We turned on a feature inside the Earlibird app called Ask AI. And within the first week, it went from "interesting new tool" to "I don't know how we were running without this."

This isn't a product announcement. This is what actually happened when we started using it.

What Ask AI Actually Is

The simplest way to describe it: a new team member sitting inside your CRM.

Not a chatbot that generates generic text. Not another tab you need to open. An AI employee that lives inside the platform, knows every contact in your system, has read every conversation, and can actually take action. Not just talk about it.

You type a prompt. It does the work. Creates contacts, drafts communications, updates your pipeline, researches prospects, generates branded content. All from a single chat window.

We'd been building AI systems for clients for years. This was the first time the platform itself became the employee.

Week One: The Conversation Analysis That Changed Everything

The first thing we did was simple. We asked the AI to analyse all of our recent conversations across every channel (SMS, email, live chat, everything in the system) and identify hot leads, risks, and recommended next actions.

Within a few minutes, it came back with a full CRM intelligence audit.

It surfaced contacts we hadn't spoken to in three to four months who had shown strong buying signals in their last conversation. People who had fallen through the cracks. Not because anyone dropped the ball, but because when you're running a business, things move fast and follow-ups get buried.

The AI didn't just flag them. It drafted personalised follow-up emails and SMS messages for each one, pulling context directly from the original conversations. Messages like "It's been a few months since we last spoke, you mentioned you wanted help with X, Y, and Z" because it had actually read every word of those conversations.

We reviewed the drafts, made minor tweaks, and sent them. The responses started coming back the same day.

We've since made this a daily process. Every morning, the AI scans for leads most likely to convert and drafts the next communication. It's reigniting conversations that were three, even four months cold. And converting them.

What We Stopped Doing (And Don't Miss)

Before Ask AI, here's what a typical morning looked like for our team:

Manually scrolling through the pipeline to figure out who needed follow-up. Opening individual contact records to piece together conversation history. Switching between the CRM, a copywriting tool, and a design tool to create content. Spending 20 minutes researching a prospect on LinkedIn before drafting an outreach email.

Now, most of that is a single prompt.

"Pull up everything on this contact." Done in seconds. Full history, payments, appointments, tasks, conversation logs, all summarised in plain English.

"Draft a follow-up for every stale lead in the pipeline." Done. Personalised to each contact based on their actual conversation history.

"Research this company, find the key people, and draft outreach." Done. It pulls publicly available information, identifies decision-makers, maps out their priorities, and writes tailored messages for each person.

That last one used to take us 30 to 45 minutes per prospect. Now it takes a few minutes, and the output is often better than what we'd write manually because it's pulling from more data points than we'd think to check.

The Content Problem We Didn't Know We Had

Here's something we didn't expect.

We've always known content creation was important. But like most businesses, it kept getting pushed down the priority list because it took too long. Come up with ideas, write the copy, create the images, schedule the posts.

With Ask AI, we gave it a one or two sentence prompt and it came back with a full set of social media posts (captions, hashtags, and custom images) all styled to our brand colours and voice. Ready to schedule.

The images were genuinely good. Not generic stock-looking AI art. Properly branded visuals that matched our style kit because the system pulls from the brand profile we'd set up inside the platform.

We now have weeks of content scheduled. Something that used to take us half a day happens in minutes. And the quality is consistent because it's working from our brand guidelines every time, not starting from scratch.

For our clients, this means the same thing. If you've got your brand voice and style set up in the system (which takes about five minutes) every piece of content the AI creates sounds and looks like you. Not like a robot. Not like everyone else. Like your brand.

The Prospecting Use Case We Weren't Expecting

One of the more surprising things we've done with Ask AI is prospect research and outreach.

We picked a business we had no connection to, just found them online, and asked the AI to research them. Within a few minutes it came back with team size, estimated revenue, service area, specialisations, key people with their roles and backgrounds, core values pulled from their own public messaging, potential gaps and opportunities, and a recommended outreach strategy.

Then we asked it to draft personalised outreach messages for each key person. The emails and SMS messages it produced were specific, relevant, and referenced things that actually mattered to each individual. Not generic "we'd love to help your business" filler.

This is a capability that businesses pay hundreds of dollars per month for through dedicated prospecting tools. It's included here alongside everything else.

For B2B businesses, this is obvious. But even our B2C clients have started using it to research upcoming calls, pulling social media profiles and background details so their sales team walks into every conversation prepared.

The Numbers

Here's what it costs: roughly $215 AUD per month, which works out to about $7 per day.

Here's what it replaces. Or more accurately, what it handles that you'd otherwise need people for:

A virtual assistant to manage your CRM and pipeline: $1,500 to $3,000/month. A copywriter to produce branded content: $1,000 to $2,000/month. A prospecting tool to research and draft outreach: $200 to $500/month. Time spent on manual follow-ups, contact research, and admin: hours every single day.

We're not saying it replaces your team. We're saying it makes your team dramatically more effective and handles the work that either wasn't getting done or was eating up time that should've been spent on higher-value activities.

And it works around the clock. No sick days, no onboarding period, no forgetting to follow up.
